Receipting funds in Rex PM is the process of recording money that has been received into your trust account — usually from tenants, landlords, or other payers.
It tells the system who paid the money, what it’s for, and where it should go. This ensures your transactions are properly recorded, your financial reports (like landlord income and expense statements) are accurate, and your trust account stays balanced.
Unlike transferring funds, which moves money that’s already in your trust account, receipting funds records new money coming in — such as a rent payment, bond deposit, or maintenance reimbursement.
What is Receipting Funds?
When funds are receipted, you’re acknowledging that your agency has received money and allocating it to the correct person, property, or purpose within Rex PM.
Think of it like getting paid into your bank account — new money has arrived, and you’re recording where it came from and what it’s for.You can:

Acknowledge money directly to an invoice — apply the payment straight to an existing invoice to mark it as paid.

Deposit the funds directly into an account for later use — hold the funds in trust until you’re ready to allocate or disburse them.

Apply the funds towards rent — receipt rent payments against a tenancy so they appear correctly in rent ledgers and landlord reports.
Where can I receipt funds?
You Receipt funds in a few places including the Global Create Button and in the Actions drop-down menu within records like Contacts, Invoices, Ownerships, Tenancies and Properties.
How do I receipt funds?

Add in the details

Folio to receipt - the ownership, tenancy or contact you are receiving funds in respect of

Received from - the contact your received the funds from

Amount received - the amount that was received from the contact

Bank account - the bank account the funds were sent to (this will almost always be your default)

Date - the date the funds were received

Line Items
Invoices
If the folio you have selected has outstanding invoices the invoices will have funds allocation automatically however you can just as easily unallocated these funds.
Rent
If the folio you have selected is a tenant you will see that there will automatically be a rent line item which will calculate the new paid to date based on the amount received.
Please note this will automatically apply the rent to the oldest rent first.
Deposit
If after you have applied the funds to rent or other invoices and you have an outstanding amount or if these funds don't relate to any rent or invoices you can add a line item of a deposit.
