Quotes can be used hand in hand with Maintenance to track progress and what conversations and agreements have been had with the suppliers and owners.
Before creating or working with quotes tasks you will need to ensure you have created a message template you're comfortable using when sending out a quote request to a supplier.

Create Quote Task
Quotes can be created from a few different places including within the Maintenance Task or independently.
Creating Tasks within Maintenance
To create a quote request within the Maintenance task:
- Open the Maintenance Task
- Click on the Quote and Work Orders tab
- Select Request Quote(s)
Creating Tasks from anywhere
To create a quote request from anywhere:
- Click the Global Create Button
- Select Create Task
- Click Quotes
- Select Continue
Within in Quote Task, there are many details you can include or keep it basic if that's the only information you have available.
When creating the Quote you will be prompted to add the below information:
- Summary - a name for your quote task
- Description - any additional notes you'd like to include (optional)
- Images - any image documentation you'd like to include (optional)
From here you can select if you have already received a quote or you need to request the quote.
This will then adjust the additional information to add from here.
If you need to request a quote:
- Supplier - Which supplier are you requesting the quote from
- Access Provided By - Who will be providing access if needed
- Message Template - Select the relevant message template you'd like to send to the supplier to request the quote
- Follow-up and Due Date - When would you like this quote to be followed up on and due (optional)
If you have already received a quote:
- Supplier - Which supplier are you requesting the quote from
- Quote Price - quote price supplier
- Quote Number - if there a quote number available (optional)
- Notes - any additional notes you'd like to include (optional)
- Available State Date - when the supplier is available to start work (optional)
- Upload Quote - here you can upload a copy of the quote to reference (optional
- Follow-up and Due Date - When would you like this quote to be followed up on and due (optional)
When hitting complete on the Quote Task you can go straight to the Outbox to send the message included or you can select the drop-down and continue working.
Manage Quote Task
Once you've created the Quote task you can then manage the status of the quote from the Maintenance Task or within Quote Tasks alone.
The below statuses are available for Quote Tasks:
- Requested
- Received
- Sent for Approval
- Approved
- Rejected
Once the Quote has been changed to Approved you will have the option to Issue a Work Order from the Quote view.
By selecting this option you will be prompted to add the information for the Work Order - Tasks: Work Orders *insert link*
